Glowfills sells professional aesthetic, beauty and skincare supplies through glowfills.com to customers in many countries. On this page we set out how regulation affects those Products, what we expect from you when you buy across borders, and how we deal with Product information, buyer eligibility and safety reports.

The name of this page simply tells you what it is about. It is not a certificate, it is not an endorsement from any regulator, and it does not confirm that each Product Glowfills offers is approved in each country.

What the law demands differs from one Product, country, activity and supply route to the next. Nothing here takes the place of the documentation that comes with a specific Product, the official guidance published by the competent authorities, or the legal rules that apply to you.

1. Who We Are and What This Page Covers

The website glowfills.com is run by Glowfills. Wherever this page says "we", "us" or "our", it refers to Glowfills.

We stock professional aesthetic Products alongside beauty, skincare and related items. Even though they are sold on one website, these Products can fall under quite different regulatory regimes.

Neither the fact that our business is registered, nor the fact that we run glowfills.com, nor our use of outside fulfilment partners proves on its own that a given Product may lawfully be supplied into a given country.

What each party in the chain must do (seller, manufacturer, importer, distributor, authorised representative and Buyer) turns on the tasks that party really carries out and on the law that governs them.

2. How Our Product Groups Are Treated

Which legal category a Product belongs to is decided by the rules of the country concerned. The way we group Products on the website, or the words used to market them, do not settle that question.

Product group Points to consider
Botulinum toxin products Usually treated as biological or other tightly controlled therapeutic products that may only be supplied under an authorisation required by local law, with their own product approval and lawful-supply conditions
Dermal fillers and some aesthetic implants Depending on how the Product is made, what it is meant to do and where it is going, it may be covered by health-device legislation or by another aesthetic-product regime
Skin boosters and other injectables Their category can depend on ingredients, how they act, their intended purpose, the claims made and local rules; they should not be assumed to be ordinary cosmetics
General cosmetics and skincare that is not injected May have to meet rules on cosmetic safety, ingredients, labels, the responsible person and notification
Accessories, consumables and equipment The rules depend on the item itself, how it will be used and the market it is going to

When we write "botulinum toxin products", we mean the group as a whole. A brand name points to one particular Product and is not a generic label that can be swapped for another brand.

3. Status Differs by Product and by Country

Seeing a Product on glowfills.com does not tell you that it may be bought, imported, distributed or used wherever you are.

Working out where a Product stands legally can involve looking at:

  • the precise Product name, model and the market version;
  • who made it and where the relevant manufacturing took place;
  • its ingredients, strength, presentation and pack size;
  • its intended purpose and any approved indications;
  • its registration, marketing authorisation or conformity papers;
  • the labels and leaflets that must accompany it;
  • licences needed along the supply chain and any local representative requirement;
  • whether the Buyer is eligible and what the Buyer plans to do.

If a different Product from the same maker, or a version sold under a similar brand, has been approved, that does not mean the Product you are buying has been approved.

Whether a Product is genuine, whether it is authorised, and whether it suits a given purpose are three separate questions, and each needs its own answer.

4. Who May Buy and What You Must Check First

Products restricted to professional use are meant only for Buyers who have a legal right to buy and receive them.

Ordinary cosmetics and skincare may be bought without professional credentials where the law allows this for the Product in question.

Before you order, it is up to you to find out which rules apply to the Products you want and to what you intend to do with them in the country of delivery.

In particular, you must:

  • make sure you are legally allowed to buy, import and hold the Products;
  • hold any professional qualification your intended work requires;
  • obtain any authorisation required by local law, import permit or other approval the law requires of you;
  • find out what rules apply if you intend to resell or distribute;
  • give us correct business, recipient and delivery details;
  • send us documents reasonably needed for us to fulfil the Order lawfully;
  • tell us about any restriction that might affect your Order.

A training certificate does not, by itself, give anyone the legal right to buy, authorise or administer a regulated Product.

If you are unsure about a requirement, check with the competent authority or a suitably qualified adviser before you place an Order.

The duties placed on you as Buyer sit alongside, and do not cancel, any duties the law places on Glowfills or on anyone else in the supply chain.

5. Checks We May Carry Out and When We May Refuse an Order

Depending on the transaction, we may ask you for things such as:

  • your professional registration or licence details;
  • information about your business;
  • identification, or proof that you may act for an organisation;
  • permissions that relate to a specific Product;
  • import or recipient paperwork.

Where the law says a check must be completed, or an authorisation required by local law must be in place, before a Product is supplied, we cannot go ahead with the Order until that has happened.

If we cannot confirm that you are eligible, or that the supply would be lawful, we may limit, pause, refuse or cancel the Order.

Paying successfully, being able to complete checkout or accepting our website terms does not stand in for a permission the law requires, and it cannot turn an unlawful sale into a lawful one.

What happens with cancellations and refunds is governed by our relevant policies and by mandatory law.

6. Rules in Particular Regions

The table below lists points that may need checking in certain markets. It is not a full legal guide, it is not a list of the places Glowfills ships to, and it does not confirm that any Product is approved in the places named.

Market What needs to be assessed for the specific Product
European Union and European Economic Area Whichever EU regime applies to the Product (therapeutic-product, device or cosmetic rules); the MDR Annex XVI requirements for certain Products that have no intended health purpose; national rules on supply, labelling and professional status
Great Britain The relevant MHRA requirements, lawful supply of controlled therapeutic products, device registration, and the conformity route recognised at the time the Product is supplied
Northern Ireland The rules that apply to the particular Product and transaction, which may not be the same as those in Great Britain
Switzerland Swiss rules on registration, representation, import and supply; meeting EU requirements should not be assumed to be enough
United States FDA authorisation for the specific Product where needed, federal and state supply rules, and any permissions linked to what each party does
Canada The relevant Health Canada Product authorisations, device classes, establishment licensing and the rules of provincial professional bodies
Australia TGA requirements, listing on the Australian Register of Therapeutic Goods where needed, sponsor arrangements, and restrictions on authorising use, supply and advertising
All other destinations Whatever national and local authorities require, including on classification, authorisation, import, labelling and professional eligibility

Naming a regulator or a set of rules here does not mean that regulator endorses Glowfills or has approved our whole range.

Rules and transition periods can change, so always check the latest official information for your particular transaction.

7. What Approvals, Registrations and Certificates Actually Mean

Regulatory terms and documents are not interchangeable. Each one proves something specific and nothing more.

Term or document What it shows, and its limits
Product authorisation or registration Covers only the Product and scope recorded by the authority that granted it; it does not give approval everywhere in the world
CE marking Shows that the Product meets the EU requirements within its scope; it is not a general import permit and does not endorse Glowfills
FDA registration or listing Does not on its own show that the FDA has approved or cleared the Product
Cosmetic notification Records a notification made under a particular regime; it should not be presented as a general certification or as approval of the Product's safety
ISO certification Covers only the organisation, site and scope named on the certificate; it does not extend to another company or approve every Product
Company or trade registration Identifies or licenses a business within its own scope; it does not replace permissions specific to a Product
Customs release Shows that customs has cleared the goods; it does not on its own prove that every rule on marketing, distribution or use has been met
Evidence of authenticity Can help show what a Product is and where it came from; it does not prove that the Product is approved in the country of delivery

A certificate held by a manufacturer or supplier must not be presented as a Glowfills certificate, unless Glowfills and the activities in question are expressly named in it.

8. Product Information and Documents

Any regulatory information should match the precise Product and market concerned. Depending on the situation, the relevant documents may include:

  • labels and the official instructions for use;
  • marketing authorisation or registration details;
  • declarations of conformity and any applicable certificates;
  • details of the manufacturer or its representative;
  • batch, lot or serial numbers;
  • supply-chain or import papers that are required.

Which documents the law requires, who must keep them and who is entitled to see them all depend on the regulatory regime that applies.

We do not automatically send a manufacturer's full technical file, batch test reports or confidential business records with each Order. Equally, we will not use confidentiality as a reason to hold back information the law obliges us to give.

If you need documents, please tell us:

  • the exact Product and version;
  • where it is going;
  • what you plan to do with it;
  • which information you need.

We will look at your request and tell you what can properly be provided or obtained. Information we give you in reply does not replace the approval of a competent authority where one is needed.

9. Genuine Products, Packaging and Traceability

Whether a Product is genuine and where it came from should be judged on evidence suited to that Product.

Packaging and security features vary between manufacturers and between markets. Holograms, QR verification, serial codes and identical seals are not used on every Product. A difference in packaging is therefore not proof of a fake, and a barcode, hologram or QR code on its own is not proof that an item is genuine.

If authenticity or traceability is in doubt, useful information can include:

  • the Product name and market version;
  • manufacturer details;
  • the batch, lot or serial number;
  • the expiry date;
  • photos of the packaging and labels;
  • the related Order and supply records.

Traceability records must be kept where the Product's regulatory regime requires it, in line with the role of the party concerned. How long they are kept should follow the applicable rules; there is no one period that suits every Product.

You can report a suspected authenticity or traceability problem using the contact details at the end of this page.

10. Storage and Transport

Each Product must be stored and transported in line with its own documented requirements. No single temperature range or packing method fits everything Glowfills sells.

Depending on the Product and the shipment, we may use insulation, cooling packs or other protective packaging. Where temperature monitoring is part of a particular service, it must be described accurately.

Insulated packaging or a frozen ice pack does not by itself show that the required transport conditions were met. In the same way, an ice pack that has melted does not by itself show that the Product is damaged.

Any concern about transport should be judged against the Product's requirements and the evidence available from the shipment.

Once your Order has been delivered, you must follow the storage instructions on the label without delay and tell us about any suspected problem before you use or pass on the Products affected.

Our Shipping Policy and our Refund Policy explain delivery and claims in more detail.

11. Customs and Cross-Border Supply

Getting through customs, holding Product authorisation and being professionally eligible are three different requirements. An Order is not lawful just because:

  • a shipping option was offered;
  • duties or taxes were paid;
  • customs let the parcel through;
  • a similar parcel arrived without trouble before;
  • the Buyer accepted a disclaimer.

Customs descriptions and the papers that go with them must truthfully reflect what is in the shipment.

As our Shipping Policy explains, Special Logistics may include customs clearance services, duties and taxes. These are commercial services and do not replace any approval, licence or permission specific to a Product. Any importer-of-record arrangement must truly match the actual transaction and comply with the law.

12. Complaints, Safety Issues and Recalls

Please get in touch quickly if you suspect any of the following:

  • a defect, or that a Product does not conform;
  • damaged packaging or possible contamination;
  • wrong labelling or expiry details;
  • that a Product may not be genuine;
  • a safety issue or adverse event linked to a Product we supplied.

Give us the relevant Order and Product details, including batch information if you have it.

If you think a Product may not be safe:

  • stop using or distributing it;
  • set it apart from stock you can still use;
  • keep storing it as the label instructs;
  • keep relevant evidence, where it is reasonably safe and practical to do so;
  • follow any urgent instructions from the competent authorities or from the treating professionals.

Never put off necessary health care while waiting for the outcome of a commercial investigation.

We will look into reports and work with the relevant manufacturers, suppliers and authorities where required. Who must report what to the authorities depends on the Product, the incident and each party's legal role. Telling Glowfills about a concern does not discharge any separate duty to report that rests on a practitioner, importer or other party.

If a recall or corrective action is issued, everyone affected must follow its instructions. Rights to refunds and replacements continue to be governed by the applicable policies and the law.

Nothing on this page claims that Glowfills runs a certified safety-monitoring (vigilance) system or formally takes part in every national or international reporting database.

13. Professional Use and Clinical Responsibility

Restricted Products must not be bought for self-administration that is not authorised, and must not be passed to anyone who is not legally entitled to receive them.

Treating professionals stay responsible for everything within their professional role, such as assessing the patient, obtaining informed consent, treating lawfully and providing suitable aftercare.

Glowfills does not offer:

  • services that issue treatment authorisations;
  • clinical treatment;
  • certified clinical training;
  • administration advice for individual patients.

Information on glowfills.com or from our customer support does not take the place of official Product information or professional judgement. Questions about clinical use should be put to suitably qualified professionals within the relevant professional framework.

14. Resale and Distribution

If you buy for lawful resale or distribution, you remain subject to the permissions and duties that apply to those activities. As a business Buyer, you must find out what is required regarding:

  • wholesale or distribution authorisation;
  • import and local representation;
  • whether your own customers are eligible;
  • storage and transport;
  • traceability and record keeping;
  • Product information and advertising;
  • safety reporting and recalls.

Buying from glowfills.com does not give you a distribution licence or trademark licence, and does not make you an authorised representative.

Reselling, redistributing, relabelling or supplying Products unlawfully or without authorisation is not allowed.

15. Advertising, Claims and Other Brands

What advertising is allowed depends on the Product, the audience, the channel used and the country. Products that may only be supplied under an authorisation required by local law can be subject to restrictions covering public web pages, promotional material, emails, social media and other advertising. Adding a "for professional use" disclaimer does not on its own make an advert lawful.

Claims about a Product must not:

  • imply approval outside the relevant market or approved scope;
  • call a registration an approval where that would be wrong;
  • promise particular treatment results;
  • misstate any certification, endorsement or distributor status;
  • leave out information that the advertising rules require.

Glowfills does not claim to own the third-party trademarks, brand names or logos shown on glowfills.com. They are used to identify the Products concerned and do not in themselves suggest endorsement, affiliation or an authorised-distributor relationship. Our Legal Notice contains more on this.

16. Personal Data and Evidence for Complaints

We handle personal information in line with our Privacy Policy and the applicable law.

Professional checks and complaint investigations should use only the information reasonably needed for that purpose. Please do not send identifiable patient records or health information we have not asked for by ordinary email or messaging apps. Contact us first, so that we can work out what is needed and a suitable way for you to send it.

Sensitive information must be handled on a proper legal basis, with safeguards and access limits that fit the situation.

A general mention of privacy laws or security standards is not a certification, nor a statement that Glowfills meets the requirements of every country.

17. Environment and Business Conduct

Packaging and Products must be disposed of in line with local rules. Used clinical items, leftover controlled therapeutic Products and contaminated materials are not ordinary recyclable packaging. Follow the Product information and your local disposal rules.

Any statement about recyclability, environmental certification or sustainability must be specific and properly backed up. What can be recycled depends on where you are and on the material.

Bribery, forged documents, misleading declarations and attempts to get around the rules are not acceptable ways to obtain regulatory approval or to get a shipment through.

You can report suspected misconduct connected with our operations using the contact details below.

18. How This Page Fits With Our Other Policies

This page gives regulatory information and explains who is responsible for what. It does not replace our contract terms and does not create a separate liability regime.

Document What it deals with
Terms and Conditions Buying from us, eligibility, how the Contract is formed and each party's responsibilities
Shipping Policy Processing, Delivery, customs charges and the terms for express shipping
Refund, Return, Replacement and Cancellation Policy Claims, cancellations, returns and the remedies available
Privacy Policy Personal information, your privacy choices and your rights
Legal Notice Who runs the website, legal contact details and third-party intellectual property

Nothing on this page takes away rights you have by law, shifts our legal duties onto the Buyer, or overrides a specific commitment we made for an Order we have accepted.

19. Changes and Accuracy

Regulatory rules, Product categories and accepted conformity procedures can change. We may update this page to reflect such developments, to correct mistakes or to follow changes in the rules. The date at the top shows when the current version was last updated.

This page is not a full register of Product approvals and is no substitute for checking the latest official information.

If you think something here is wrong or out of date, please let us know, quoting the wording concerned and any supporting information you have.

Updating this page does not take away, after the fact, rights connected with an Order we have already accepted.
